Create a workflow

Open Automations and describe the outcome you want. Include the signal, any conditions, and the actions to prepare.

For example:

When tracking has not moved for five days, apologize to the customer, notify logistics, and recommend a 15% discount.

klaxify converts the instruction into a structured workflow. The first version is always a draft so a manager can review each step before activation.

What happens after activation

When a new customer message matches the workflow intent, klaxify records the match in the conversation timeline. Safe local steps, such as an internal notification or a scheduled tracking watch, can run immediately.

Commerce changes do not bypass your safeguards. Refunds, cancellations, address changes, discounts, replacements, and subscription changes remain governed recommendations until live data validation and your workspace approval policy both pass.

Pause a workflow

Open Automations, find the workflow, and choose Pause. Pausing prevents future matches without deleting the instruction or its audit history.

Writing effective instructions

  • Name the customer signal: tracking delay, refund request, cancellation, product question, or damaged item.
  • Add measurable conditions, such as “more than five days” or “VIP customer.”
  • State who should be notified.
  • State the desired customer communication.
  • Add the commerce outcome you want prepared, knowing the normal approval policy still applies.

Every workflow remains scoped to your organization. A workflow cannot read another tenant's conversations, customers, settings, or connections.
